# Showround Scheduler: The Smarter Way to Book Showrounds
Showround Scheduler is Bridebook's built-in viewing management tool, designed specifically for wedding venues.
It allows couples to request showrounds online while giving you full control over your diary. From setting availability and qualifying enquiries to managing bookings and tracking attendance, everything can be managed in one place.

### Getting Started
###### Step 1: Set Your Availability
Go to the **Showround Scheduler** settings within your Bridebook account.
From here you can:
- Select the days and times you're available for showrounds
- Set a minimum notice period for bookings
- Create recurring weekly availability
- Update your schedule whenever needed
Only the availability you choose will be visible to couples.
###### Flexible Scheduling Options
Showround Scheduler offers greater flexibility, including:
- Showround durations of up to **120 minutes**
- A full **24-hour scheduling range**
- Support for evening and late-night viewings
- Greater control over custom availability patterns
###### Step 2: Add Pre-Screening Questions
Create custom questions to gather key information before a couple books a viewing.
This helps you:
- Prioritise the right enquiries
- Prepare for appointments more effectively
- Reduce unsuitable showround requests
Couples complete these questions before submitting their booking request.
###### Step 3: Share Your Booking Link
Couples can request a showround through:
- Your Bridebook venue profile
- Your unique Showround Scheduler link
You can share your booking link in:
- Emails
- Your website
- Social media channels
- Marketing materials
- Within your **[Couples Manager](https://business.bridebook.com/leads)** response
- Add it in to your **[Message Templates ](https://business.bridebook.com/settings/message-templates)**

###### Step 4: Review Booking Requests
When a couple requests a showround, you'll receive the request in Bridebook.
You can:
- Approve the booking
- Decline the request
- Contact the couple for further information
Nothing is automatically confirmed without your approval.
Once approved, the booking is added to your Showround Scheduler calendar.
###### Step 5: Automatic Reminders & Reconfirmation
To help reduce no-shows:
- Couples receive SMS confirmations
- Reminder messages are sent automatically
- Couples are asked to reconfirm attendance before their viewing
This helps ensure appointments remain accurate and up to date.
### Managing Your Calendar
###### View Individual Slots
Use the **Show Slots** toggle to view every individual viewing slot within your availability blocks.
This allows you to:
- Remove a single slot
- Remove an entire availability block
- Apply changes to one week or all future weeks
Removed slots are automatically saved as availability exceptions.

###### Add Manual Bookings
You can manually add showrounds arranged outside Bridebook, ensuring all appointments are recorded in one place.
This keeps your diary complete and up to date.
###### Import Couples
If a couple isn't already in Bridebook, you can create them directly from the Showround Scheduler.
Simply:
1. Add the couple's details, including a phone number.
2. Save the record.
3. The couple will automatically be added to Couples Manager and linked to the showround.
This makes it easier to track all viewings, regardless of where the enquiry originated.

###### Delete Scheduled Events
If a viewing is cancelled or no longer relevant, you can delete it directly from the Scheduler.
This helps:
- Keep your calendar organised
- Remove outdated appointments
- Maintain an accurate record of active showrounds
Bridebook automatically stores the necessary cancellation information in the background.

### Attendance Tracking
After a showround takes place, you can record:
- Whether the couple attended
- Their likelihood of booking (using a 5-point scale)
This information can help you:
- Identify no-show trends
- Track engagement levels
- Prioritise follow-up activity

The attendance prompt appears 15 minutes after the scheduled start time and can be updated at any point.

No. Couples submit a request, and you decide whether to approve or decline it.
###### Can I add bookings that weren't made through Bridebook?
Yes. Manual bookings can be added directly to the Scheduler.
###### Can I customise my availability?
Yes. Availability can be adjusted at any time, including individual slots and recurring schedules.
###### Can I host evening viewings?
Yes. The Scheduler supports a full 24-hour calendar range, allowing for evening and late-night appointments.
