With templates, you can respond to enquiries in just a few clicks, giving couples the simplicity and reassurance they need, while saving you valuable time.
How to Use a Message Template
Replying with a template is quick and simple:

Open an enquiry and look for the Quick Actions section.

Click Use a template.

Choose a template from your saved list.

The content will automatically appear in the chat box.

Hit the blue arrow to send — and you’re done!
Creating a New Message Template

Click Manage templates (below your template list) or go to Enquiry settings on your Enquiries page.

Select the green Add button to create a new template.

Fill in the short form:

Give your template a name (for your reference).

Write your message.
-
Attach any files you’d like to include (e.g. brochures, price lists).

Your new template will now appear in your list and can be used anytime.
Personalising Templates with Smart Variables
Make every message feel unique by using Smart Variables. These automatically pull in details from a couple’s enquiry.
Available Smart Variables:

Couple’s names → e.g. “Pedro and Ana”

Wedding date → exact date, a season + year, or a range (e.g. “Saturday in Summer 2025”)

Number of guests → the couple’s estimated guest count
To add a Smart Variable:

Click on a variable in the form while creating your message.

It will insert into your text and auto-populate with the couple’s details when sent.
💡 Tip: Write your templates so they work naturally with all types of wedding date formats. For example:
✔️ “You’re considering [wedding date], which we can certainly accommodate!”
Works whether the date is “1st September 2023” or “Spring 2026.”
❌ Avoid formats like: “We’re excited to help you plan your wedding on [wedding date].”
This can sound odd if the variable is filled with “Thursday in July 2026.”
Adding Attachments to Templates
You can attach files to a template (e.g. brochures, menus, or pricing guides).

Drag and drop files into the form when creating your template.

When the template is used, these files will automatically be included.

You can remove attachments or edit the message before sending if needed.
⚠️ Keep the enquiry page open until all attachments have finished sending. You’ll see a progress message while files upload.
